Time Management Techniques for Effective Employee Performance
- by siteadmin
Do you have employees that work too slowly, or waste too much time on unnecessary tasks? Do you want an efficient and productive workforce that doesn’t become burnt out from constantly working through overtime? There are some simple techniques that can help your employees manage their time better.
Employee Time Management Techniques
Create a To-Do List: This is the most fundamental of all time management skills. If an employee needs to complete a task or a series of tasks, they need to write it down so they don’t forget about it. Having clear expectations with due dates also gives an employee deadline by which to meet.
Use Deadlines as Incentives: Setting deadlines for certain tasks makes the completion of those tasks more urgent and thus motivates your worker to complete them faster. Use deadlines as incentives for reaching certain goals, such as having your employee finish a project before the deadline so they can enjoy time off afterwards.
Create Procedures: Creating procedures is important if you want most of your employees to perform tasks in a similar manner. Having set guidelines on how to do something will ensure that everyone does their jobs in an effective and efficient way, without wasting too much time doing things differently from one another. Standardizing workplace processes can help create a more productive environment where all workers are held accountable for meeting deadlines and following industry or company standards.
Structure Meetings Effectively: A key part of being organized is calling meetings only when necessary and keeping them short while still accomplishing everything that needs to be done. If you want your employees to have time for other projects, have structured meetings so everyone knows what must be discussed and has ample time afterwards to finish their work.
Assign Tasks Clearly: If multiple people are responsible for completing a task, make that clear by assigning the job to relevant individuals or departments. Don’t share tasks that can distract others from their main goals; it’s better to let one worker complete something correctly than forcing two workers to split the work between them while neither do it well enough. This means there will probably be some redundancy in jobs, but no worker should be overwhelmed with responsibilities they cannot handle.
Find Ways to Streamline Processes: Find ways to streamline processes. For example, if three people are responsible for completing a task in three different ways, find a way to combine all three elements into one method. This will reduce any kind of redundancy in the system and make it more efficient overall.
Reward Good Performers: If you want your employees to perform better in time management skills, then reward those who do good work with raises or bonuses. Recognizing that someone is doing what you want them to do is a great motivator that can encourage improved performance from other workers as well.
Cut Off Time Wasters: Time wasters such as excessive breaks, social media usage during working hours, and even going to get drinks after work with coworkers can eat away at productivity levels. Your employees may also take off this by asking to leave early on occasion if they have a great reason to do so.
Organize Your Desk: This is a simple time management skill that can make it much easier for you to actually get work done. Keep your desk as organized as possible and try not to let piles of papers or clutter form, as it will only distract you from the task at hand.
Incentivize Productivity: If employees find their job monotonous or boring, they won’t want to perform well in it. Incentives such as a bonus system can give them financial motivation for putting in extra effort and going above and beyond their daily duties.
